Can I use your services if I only have a correspondence address?
No. We only offer business mailing and registered addresses to entrepreneurs who are registered in the Dutch Personal Records Database (BRP) and have a residential address. A correspondence address alone is therefore not sufficient to obtain a business address from us.
What is the maximum number of businesses I can register at one address?
There is no limit to the number of businesses you can register at our business address, provided you own the businesses. Whether you want to register 2, 5 or even 10 businesses, it is all possible. Please note that each business is registered separately and that the KvK has its own registration rules for each entrepreneur and legal form. Feel free to contact us with specific questions or to discuss the options.
Can I also use the address as a mailing address for my personal mail?
No, our address is intended exclusively for business correspondence. We only offer business mail services and cannot accept or process personal mail. To safeguard our customers' privacy and comply with regulations, we only process mail addressed to your business. You should therefore always have personal mail delivered to your own home address.
Can I also use the address for marketing purposes, such as on business cards?
Yes, our business address can be used without any problem on marketing materials such as business cards, stationery, websites and other communication channels. This presents a professional image and ensures your home address does not become public. Please bear in mind that the address must be officially registered as your business address with the Dutch Chamber of Commerce, so that its use fully complies with regulations.
Can I later convert my sole proprietorship into a BV without additional address costs?
If you want to convert your sole proprietorship into a private limited company (BV) and continue using the same address, you can. Your business mailing address can be converted into a business mailing address for the BV free of charge. However, if you need a full business registered address for your BV, additional costs apply. Contact us to discuss the different options and find the best solution for your business.
Is it also possible to register an LTD at your address?
Unfortunately, we cannot register LTDs at our address. We only offer business addresses for legal forms registered in the Netherlands, such as sole proprietorships, private limited companies (BVs), general partnerships (VOFs) and foundations. If you want to register another legal form, such as an LTD, please contact a provider specialising in international legal forms.
Application and registration
How quickly can my application be processed?
On working days, your application is often processed within just a few hours. This means that if you urgently need a business address, you have come to the right place. We understand that time matters, which is why we have designed our process to help you get your business started quickly. As soon as we have received your application and verified your details, you will receive confirmation from us as soon as possible.
Do I need to visit in person to register my business?
No, that is not necessary. Our registration process is entirely online, so you do not have to spend time visiting our location. However, we do request some documents to confirm your identity. You must provide a copy of a valid identity document and official proof of your residential address, and transfer 1 euro cent from your personal bank account. In some cases, we may request additional information to verify your identity further, but this is usually quick and straightforward.
How do you work with the Dutch Chamber of Commerce during registration?
We are not an official partner of the Dutch Chamber of Commerce (KvK), but we facilitate your registration at our address. Once you become our customer, you receive an agreement that you can use to register your business in the Business Register at our address. This ensures your registration meets the KvK requirements. In addition, if you wish, you can use our facilities such as workspaces, office spaces and meeting rooms, which also meet the KvK requirements.
Which documents do I need to provide to apply for a business address?
To apply for a business address with us, you must provide the following documents: a copy of a valid identity document (for example, a passport or identity card) and official proof of your residential address, such as a recent bank statement or utility bill. You must also transfer 1 euro cent from your personal bank account. In some cases, we may request additional information to further confirm your identity. Make sure you provide these documents promptly to speed up the process.
Which additional documents are needed to register a BV?
To register a BV (private limited company), we need specific information to confirm who is behind the business. This includes details of all UBOs (Ultimate Beneficial Owners), such as their name, date of birth, address and nationality. This information is crucial for meeting the legal requirements for business registration. Make sure you provide all relevant documents and details to ensure a smooth registration.
How soon can I use the address after signing the agreement?
After you sign the agreement and pay the corresponding invoice, we will countersign the agreement immediately. You can therefore generally start using the address on the same day, provided this takes place on a working day. This means you can get started with your business very quickly, without unnecessary delays.
How quickly will my change of address be processed after signing up?
When you register your business at our address with the KvK as a new entrepreneur, this registration is immediately entered in the Business Register. This means you can officially use the address from that moment onwards. If you change an existing address to our address, it may take a few working days for the change to be processed. We advise you to check the status of your change regularly with the KvK.
Mail processing and management
How much does mail scanning cost?
Scanning your mail is completely free. We do not charge extra per scan or per document received. Whether you receive little mail or regularly receive new documents, everything is included in your plan fees. This means you will never face surprises and do not have to worry about additional costs.
How often do you forward mail?
As standard, we forward your mail weekly. You will usually receive the scanned mail in your inbox on Thursday or Friday. You can also let us know if you would prefer physical mail to be forwarded to a particular address.
Is there a maximum amount of mail I can receive?
No, there is no maximum limit on the number of letters or parcels you can receive through us. Whether you receive just a few letters a month or a large volume of mail each week, we process it all with the same care and attention. Do you consistently receive a lot of mail? Contact us to discuss possible tailored arrangements.
Can you forward mail to an address abroad?
Yes, we can also forward your mail to an address abroad. If you choose this option, you can indicate whether you want to receive all mail or only selected items. Please bear in mind that additional postage costs may apply, depending on the destination country. We can also scan mail first and physically forward only specific items. All these options are possible.
What happens to unwanted mail you receive for me?
If we receive a lot of unwanted mail for you, such as advertising or spam, we will let you know and offer the option of destroying it immediately or returning it to the sender.
What do you do with my mail after scanning and emailing it?
After your mail has been scanned and sent, several options are available.
Destruction: As standard, we securely shred mail using a professional paper shredder, keeping your confidential information protected.
Physical forwarding or collection: We can also periodically forward the mail to an address of your choice, or you can collect it yourself by appointment. This gives you full control over what happens to your mail.
How will I be notified when mail has been received for me?
Every time we receive new mail for you, you will receive an email with an overview of the items received. The email also includes the scanned documents as attachments, keeping you informed immediately. Have you not received any mail that week? Then we will not send you anything, so you do not receive unnecessary notifications.
How do you guarantee the security of my mail?
We take the security of your mail very seriously. Mail is stored securely in locked cabinets until it has been processed. We use scanning equipment to digitise it. Afterwards, we securely destroy physical mail using a professional shredder once it is no longer needed. This way, you know your information is in safe hands with us.
What happens to mail processing during public holidays?
Our offices are closed on national public holidays and no mail is processed. This may mean your mail is processed and forwarded a few days later than usual. After the holidays, we resume processing as quickly as possible.
Plans and payments
What happens if I do not pay my invoice on time?
If your invoice is not paid on time, you will receive a friendly reminder from us. We understand that payments can sometimes be delayed and will not stop providing services immediately. However, if payment remains outstanding for a longer period, we may have to suspend our services temporarily until the outstanding invoice is paid. This means you may no longer receive mail or may temporarily be unable to use other services. We recommend contacting us if you are having difficulty making payment, so we can look for a solution together.
What payment options are available for my plan?
Our monthly business mailing address plans can only be paid by direct debit. Do you also have a business registered address with us in addition to a mailing address? Then payment by bank transfer is also possible. For our annual plans, you can always choose to pay by bank transfer. If you have other preferences regarding payment methods, feel free to contact us to discuss the options.
How does the notice period for my plan work?
We work with annual contracts and apply a notice period of one month. This means you can notify us that you wish to cancel one month before your contract ends. If you do not cancel in time, the contract is automatically renewed for another year. Make sure you act in time to avoid unwanted renewals.
Can I transfer my plan to another business?
Transferring a plan is not possible as standard. However, if there is a change in the ownership of your business, for example during an acquisition, we can assess this based on the situation. Contact us to discuss this, so we can consider together the best way to make the change to your plan. Each transfer request is assessed individually to ensure all conditions are met.
What is the difference between a monthly plan and an annual plan?
Both plans are identical in terms of services, service levels and support. The difference is in the price. An annual plan offers an attractively lower price compared with a monthly plan.
Is it possible to renew the agreement before the contract expires?
No, unfortunately it is not possible to renew a current contract early. The agreement is automatically renewed when the contract period expires, unless you cancel in time. Other services and conditions
Does your address also offer flexible workspaces or meeting rooms?
Yes, in addition to using our business address, we also offer flexible workspaces and meeting rooms at various locations. You can rent these spaces by the hour, half-day or day, depending on your needs. The spaces are fully equipped with amenities such as fast internet, coffee and tea, and presentation equipment for meetings. This makes our locations ideal for flexible working, welcoming clients or organising a meeting. Contact our customer service team to discuss availability and rates or to make a reservation.
Do I need an appointment to collect physical mail?
Yes, you need to make an appointment in advance if you want to collect physical mail. This allows us to ensure your mail is ready at the agreed time and prevents you from making an unnecessary trip. We process and manage mail centrally, which means there may be no immediate access to mail items without an appointment. Please always contact us to arrange a suitable time.
Can I also use the address as a billing address?
Yes, you can also use our business registered address as a billing address. This can be useful if you want all your business correspondence to go through one central address. Please note that when using a business mailing address, you can only have mail sent in your business's name. Personal invoices and private mail cannot be received at our address. Make sure you clearly tell suppliers and customers which address details to use to ensure correct delivery.
